Health and Safety policy

Health and Safety Policy for Man with Van Rayners Lane

Man with Van Rayners Lane is committed to providing removal and transport services in a manner that protects the health, safety, and welfare of our workers, customers, visitors, and members of the public. This policy sets out our approach to managing risks associated with moving, loading, unloading, driving, and operating within homes, business premises, and public spaces.

Health and Safety Objectives

Our primary health and safety objective is to prevent injury, ill health, and property damage arising from our removal activities. We achieve this by planning work carefully, training our staff, supplying appropriate equipment, and cooperating with customers to maintain safe working conditions at all times.

We aim to continually improve our health and safety performance by reviewing our practices, learning from experience, and implementing reasonable and practical measures to reduce risk.

Roles and Responsibilities

Overall responsibility for health and safety within Man with Van Rayners Lane rests with the company management. Management is responsible for ensuring that this policy is implemented, monitored, and reviewed on a regular basis, and that adequate resources are provided for its effective operation.

All employees, contractors, and anyone working on behalf of Man with Van Rayners Lane are required to take reasonable care of their own health and safety and that of others who may be affected by their actions. They must follow instructions, use equipment correctly, report hazards or incidents promptly, and cooperate fully with the company in meeting its health and safety obligations.

Risk Assessment and Planning

Before removal work is carried out, we assess the foreseeable risks relating to manual handling, access routes, vehicle movements, lifting operations, and the condition of the items being transported. Where appropriate, we will conduct on-site checks to identify hazards such as narrow staircases, uneven flooring, restricted parking, or heavy and fragile items.

Findings from risk assessments are used to plan the work, choose suitable equipment, determine required staffing levels, and decide whether specific control measures are necessary. Work will not proceed where serious and uncontrolled risks are identified, until they can be adequately managed.

Manual Handling and Lifting

Manual handling is a core part of removal work and is a key focus of our safety arrangements. Staff are trained in safe lifting techniques, team lifting methods, and the correct use of trolleys, straps, and other moving aids. Wherever reasonably practicable, we use mechanical or wheeled aids to reduce the need for staff to carry heavy or bulky loads by hand.

Loads are assessed for weight, size, shape, and stability prior to lifting. Items that are excessively heavy, awkward, or potentially unstable will be moved using additional staff or appropriate equipment. Staff are instructed not to attempt lifting tasks that exceed their capabilities or that they believe to be unsafe.

Vehicles, Driving, and Loading

Our vehicles are maintained in a roadworthy and safe condition, in line with legal requirements and manufacturer guidelines. Drivers are required to hold the appropriate licences and to follow safe driving practices, including adherence to speed limits, fatigue management, and secure loading procedures.

All loads must be evenly distributed and properly secured to prevent movement during transit. Hazardous situations, such as overloading or obstructing the driver’s view, are strictly prohibited. Staff must take extra care when operating in residential streets, car parks, and busy areas, paying particular attention to pedestrians, cyclists, and other road users.

Working at Customer Premises

When operating at customer homes or business premises, our staff will work with the customer to ensure that access routes are kept as clear as possible, trip hazards are minimised, and any specific on-site rules are respected. Protective coverings may be used where suitable to help prevent slips and protect floor surfaces.

Where staircases, tight corners, or confined spaces present particular challenges, staff will consider alternative routes, adjust the method of handling, or request assistance. Work will be paused if unsafe conditions are identified until suitable control measures can be agreed.

Use of Equipment and Personal Protective Equipment

Equipment such as trolleys, dollies, ramps, lifting straps, and blankets will be inspected regularly and used only for their intended purposes. Damaged or defective equipment must not be used and will be taken out of service until repaired or replaced.

Personal protective equipment, such as safety footwear and gloves, will be provided where required and must be worn in accordance with instructions. Staff are responsible for looking after any equipment issued to them and reporting any defects or concerns immediately.

Safe Handling of Customer Property

We take care to handle all customer items safely to avoid damage and to protect staff and others from injury. Items that are fragile, sharp, or of unusual construction are given special consideration to ensure that they can be moved without creating hazards.

Customers are requested to inform us in advance of any particularly heavy, fragile, hazardous, or high-value items so that we can plan accordingly. We reserve the right to refuse to move items that present unacceptable risks to health and safety.

Accidents, Incidents, and Near Misses

All accidents, injuries, property damage, and near misses must be reported to management as soon as reasonably possible. Reports will be recorded and investigated to identify causes and to prevent recurrence. Where necessary, we will revise our procedures, provide additional training, or implement new control measures.

Training, Information, and Supervision

Man with Van Rayners Lane provides appropriate training and information to staff so they can carry out their duties safely. This includes induction training, instruction on manual handling, vehicle safety, use of equipment, and awareness of this health and safety policy and any related procedures.

Supervision will be provided in line with the experience and competence of staff, and new or temporary workers will receive additional guidance where required. We encourage open communication so that staff feel able to raise concerns and suggest improvements.

Cooperation with Customers and Third Parties

Health and safety is a shared responsibility. We ask customers to cooperate with our staff by providing accurate information about the premises and items, ensuring reasonable access and parking where possible, keeping children and pets away from working areas, and following any safety guidance given during the move.

Where other contractors or third parties are present, we will liaise with them as needed to coordinate activities and minimise risks.

Policy Review

This Health and Safety Policy will be reviewed periodically and whenever significant changes occur in our operations, legislation, or best practice guidance. Updated versions will be communicated to staff, and the latest policy will be made available to customers on request.

By following this policy and working together, Man with Van Rayners Lane seeks to provide a safe, efficient, and professional removal service for all parties involved.
